Bookings and manual bookings

Use Rentshelf → Bookings to find rental records and open their details. A booking can come from Shopify checkout or a manual staff entry.

Open the booking to check its product, start and end dates, units, customer, delivery method, pickup/return times and notes. Review Paid today, Remaining balance, Balance due date and Payment link when a deposit is involved. Use the linked Shopify order when one is present.

Booking value and confirmed status do not by themselves prove that an offline or manual payment was received. Compare the payment record with the booking before telling a customer their account is settled.

  1. Open Bookings and choose the new booking action.
  2. On New manual booking, select an active Product.
  3. Enter Start date, End date and Units.
  4. Review the calculated booking value before saving. Date changes can change pricing, including seasonal rates.
  5. Choose Pick a customer to search Shopify customers, or enter First name, Last name, Email and Phone number for a new customer.
  6. When selecting an existing Shopify customer, confirm that name, email, country code and phone number were filled correctly before saving.
  7. Choose Delivery method and enter Pickup time, Return time and Notes (internal) as needed.
  8. Save, then open the resulting booking and check it in the calendar.

The app validates the date window and capacity before creating the booking. If it reports no capacity, choose available dates or resolve the stock issue rather than creating a duplicate entry. A saved manual booking is a confirmed rental record and affects availability. It does not automatically create a paid Shopify order.

Customer email is optional for a phone or in-person booking. When provided, the app attempts a booking confirmation; verify receipt when communication is essential. Configure customer email settings before relying on automated messages.

  1. Set the status tab and Future only filter to match the handover or report you need.
  2. Select Export CSV at the top of the Bookings page.
  3. Open the downloaded file and compare a known row with its booking record.

The export follows the active booking filters and includes booking reference, source, product, variant, rental dates, customer, amounts, balance and status. It is a snapshot, so export again after booking changes. If the download returns an HTML page, reopen Rentshelf from Shopify admin and retry with a current embedded session.

Growth stores can also use Microsoft Outlook Calendar for one-way private booking-event synchronization with Outlook.com and Microsoft 365.

Use booking changes and saved views to review availability and price differences before changing dates, quantity, variants, add-ons, delivery or handover times. Saved views restore frequently used booking filters without changing booking records.

Check the booking details before collection. Use Returns to record the returned item and condition notes. Use calendar saved views for staff handovers and remaining balances for deposit follow-up.
