Calendar, filters and blackouts

Open Rentshelf → Calendar & Blackouts from Shopify admin. The calendar combines bookings and blackout events so staff can plan pickups, returns and unavailable stock.

  1. Select the month to review.
  2. Open Search, filter, and export.
  3. Narrow the view by product, status, customer, delivery method, tag or start/end date.
  4. Check the displayed records. Hover a booking chip for quick details and open the booking when you need its full record.
  5. Clear filters when returning to the full calendar. An empty filtered view does not mean the store has no bookings.
  1. Apply a useful filter combination, such as delivery preparation or overdue bookings.
  2. Open Saved views, enter a recognizable name and save.
  3. Reopen the view for the next handover and check the date range and active month.

Saved views reuse filters. Do not assume a saved date range automatically advances to the current week.

  1. Set the month and filters you want to export.
  2. Choose Export CSV.
  3. Open the downloaded file and check a known booking against the calendar.

The export respects the active month and filters. It is a snapshot, not a live spreadsheet. Re-export after booking changes. If authentication expires or the download fails, reopen Rentshelf from Shopify admin and retry; the result should be a .csv attachment, not an HTML page.

  1. Open the blackout controls and choose the affected date range.
  2. Choose a store-wide blackout or the specific rental product.
  3. Enter the number of units to block and a useful note, then save.
  4. Test the affected dates on the product page.

Units blocked = 0 creates a calendar note without reducing availability. Use 1 or more to remove capacity. For example, one unit in repair should reduce the affected product’s available stock by one; a warehouse closure may need a wider block.

Buffer days and blackouts serve different purposes: buffers create preparation time around bookings, while blackouts describe a specific unavailable period. Buffers require a paid plan; blackout dates are available on all current plans.

See Bookings and manual bookings and Returns workflow.

The rental availability guide explains how to test buffers and blocked capacity together. Before rescheduling a customer, use the booking date change checklist.
