Bookings and manual bookings

Use Rentshelf → Bookings to find rental records and open their details. A booking can come from Shopify checkout or a manual staff entry.

Open the booking to check its product, start and end dates, units, customer, delivery method, pickup/return times and notes. Review Paid today, Remaining balance, Balance due date and Payment link when a deposit is involved. Use the linked Shopify order when one is present.

Booking value and confirmed status do not by themselves prove that an offline or manual payment was received. Compare the payment record with the booking before telling a customer their account is settled.

  1. Open Bookings and choose the new booking action.
  2. On New manual booking, set the rental dates and add one or more Rental items. Select an active rental product, its variant when applicable, the quantity and any configured add-ons. All items share the booking date window.
  3. If the customer is buying cups, mix or other consumables with the rental, add them under Shopify extras and choose the stock location. These are stock-tracked sale items, separate from rental add-on fees. Returns of rental equipment do not restock consumables.
  4. Choose an existing Shopify customer or enter their contact details. Confirm copied details before saving.
  5. Add delivery or pickup details and internal notes as needed. Under Pricing & existing invoice, enter any delivery fee, additional charge, discount or agreed total, plus an external invoice reference if relevant. Enter the required Reason / invoice note.
  6. Select Review booking total. Check each rental item and extra, the calculated total, any agreed-price adjustment and the final booking total. If you change the form, refresh the review before saving.
  7. Select Create booking, then open the saved record and check its calendar dates and outstanding balance. If the app flags Shopify extras stock for synchronization, follow the on-screen action and verify the stock result.

The app validates the date window and capacity before creating the booking. If it reports no capacity, choose available dates or resolve the stock issue rather than creating a duplicate entry. A saved manual booking is a confirmed rental record and affects availability. It does not automatically create a paid Shopify order, collect payment or issue a new external invoice. An existing invoice reference is recorded for staff follow-up; verify the actual invoice and payment in their source systems.

Customer email is optional for a phone or in-person booking. When provided, the app attempts a booking confirmation; verify receipt when communication is essential. Configure customer email settings before relying on automated messages.

  1. Set the status tab and Future only filter to match the handover or report you need.
  2. Select Export CSV at the top of the Bookings page.
  3. Open the downloaded file and compare a known row with its booking record.

The export follows the active booking filters and includes booking reference, source, product, variant, rental dates, customer, amounts, balance and status. It is a snapshot, so export again after booking changes. If the download returns an HTML page, reopen Rentshelf from Shopify admin and retry with a current embedded session.

Growth stores can send storefront and manual bookings to a private destination calendar. See Google Calendar integration for event updates, cancellations, privacy controls and optional busy-calendar blocking.

Growth stores can also use Microsoft Outlook Calendar for one-way private booking-event synchronization with Outlook.com and Microsoft 365.

Use booking changes and saved views to review availability and price differences before changing dates, quantity, variants, add-ons, delivery or handover times. Saved views restore frequently used booking filters without changing booking records.

Check the booking details before collection. Use Returns to record the returned item and condition notes. Use calendar saved views for staff handovers and remaining balances for deposit follow-up.

Use the daily rental operations checklist to assign preparation, pickup and return responsibilities. For enquiries taken outside checkout, follow the phone enquiry to confirmed booking guide.
